Living with Attention Deficit Hyperactivity Disorder (ADHD) can present unique challenges when it comes to managing tasks and projects effectively. From business to personal, the difficulty in maintaining focus and managing time can often lead to feelings of overwhelm and a massive decrease productivity.

Have you ever just given up because the nitty gritty is just too overwhelming to even read let alone take action on! I know I have – ironically more often than not when it comes to my own ‘stuff’.

With the right strategies, approaches, tools and techniques; individuals with ADHD or suspected ADHD can learn to prioritise their tasks and projects, harness their strengths, and look to maximise their productivity. In this blog post, we will explore some practical techniques to help individuals with ADHD prioritise their workload and achieve their goals more efficiently.

Embrace the Power of Lists

Creating a comprehensive to-do list is an essential step in task prioritisation. Yet I don’t know about you; I’d look at a to-list the length of my arm while thinking about what I’m going to have for my dinner! It’s ok having that list but if it’s overwhelming before you even get cracking you’re probably not even going to begin to read it.

Break down your tasks into smaller, manageable chunks, and batch them together on a piece of paper, a digital tool, or a dedicated task management app. A representation that works for the way your brain does whether it be written, mind map or journal. It needs to be a visual representation of your tasks that allows you to see the bigger picture and enables you to prioritise based on importance and deadlines.

Prioritise with a Clear System

Developing a system to prioritise your tasks can help you stay organised and focused. Consider using a simple numbering system or color-coding tasks based on urgency or importance. Asana offers this. I’m personally hoping to start with Notion shortly to help me do exactly this per project.

It’s designed to help prioritise tasks that are time-sensitive, have impending deadlines, or are critical for overall project success. This systematic approach will help you allocate your energy and time more effectively.

Utilise Time-Blocking Techniques

ADHD often brings challenges in managing time effectively. Time-blocking is a technique that involves dividing your day into specific time blocks dedicated to different tasks or projects. My calendar is my life! Assign realistic time intervals to each task, allowing for breaks and potential distractions. Use alarms or reminders to help you transition between tasks smoothly, keeping you on track and minimising the chance of getting lost in unrelated activities.

Leverage Your Peak Productivity Hours

ADHD symptoms can fluctuate throughout the day. I know I’ll drop off the face of the earth by 4pm. Consider identifying your peak productivity hours when you feel most alert, focused, and energised.  Schedule your most challenging and demanding tasks during these times to take advantage of your heightened concentration. There is no way I’d be able to do the things I do at 9am at 3pm. By aligning your energy levels with your most important work, you can optimise productivity and make significant progress on your projects.

Break It Down

Large projects can be overwhelming, leading to procrastination or avoidance. We’ve already. spoken about the fact of your to-do list being the length of your arm – it’s not going to get touched! Break down complex projects into smaller, more manageable tasks. Focus on one task at a time, allowing yourself to maintain focus and build momentum. Celebrate small victories along the way too, reinforcing a sense of accomplishment and motivation.

Harness External Tools and Support

Technology can be a valuable ally for individuals with ADHD. Utilise productivity apps, reminders, or alarms to keep you on track. If you’ve followed me for a while you’ll know how much I rely on my calendar. Explore tools specifically designed for task management, time-tracking, project collaboration and transcription. Additionally, consider seeking support from a trusted friend, family member, or mentor who can perhaps provide accountability and guidance too.

Practice Self-Care and Mindfulness

Taking care of your physical and mental well-being is crucial when managing ADHD. Regular exercise, adequate sleep, and a balanced diet contribute to improved focus and overall cognitive functioning. Incorporate mindfulness techniques, such as deep breathing exercises or meditation, to reduce anxiety and enhance your ability to concentrate.
